SERVICE JOURNEY

Nine steps from booking to retention

Every step has a state, owner, input, output and exception path. Arrival is not consent to repair, and a finding is not customer authorization.

INTAKE VIEW

One vehicle truth across every stage

Advisors, technicians and customers see role-appropriate information while source and change history remain intact.

Appointment: pre-register the owner, vehicle, requested service and arrival window; the advisor confirms identity and actual condition at check-in.

01

Prevent duplicate vehicles

Validate plate, VIN, engine number and customer relationship.

02

Trace inspection evidence

Keep images, measures, diagnostic codes, author and time.

03

Continue service history

Build a timeline of work, parts, mileage, warranty and advice.

ESTIMATE & AUTHORIZATION

Explain issues, options and cost first

Present recommendations by need, risk and priority, with labor, parts, discount, tax, expected delivery and warranty details clearly separated.

CUSTOMER CONSENT

Authorization sets the repair boundary

Customers can approve, decline or request changes item by item. Additional work requires a new explanation and authorization; status never replaces a real conversation.

WORKSHOP CONTROL

Connect dispatch, repair and quality

Plan work around bay capacity, technician skill, promised delivery and parts readiness, then surface delays, rework, waiting parts and quality exceptions.

ORDER STATE

Each state carries a responsibility and control

Moving a vehicle to the next stage means its required people, evidence, parts and approval are ready—not merely dragging a card.

Dispatch: match skills, bay capacity, promised delivery and parts readiness; authorized staff may reassign with a recorded reason.

01

Match skills and bays

Task, labor time, equipment and qualification constrain assignment.

02

Escalate workshop exceptions

Waiting parts, rework, delays and new findings enter an owner queue.

03

Protect the quality gate

Required checks, reviewer and road-test evidence control release.

PARTS OPERATIONS

Trace every part to its repair order

Connect catalog, vehicle fitment, supplier, batch, bin, reservation, issue, return, transfer, purchase and cost to the authorized repair order.

PARTS READINESS

Prevent waiting work and excess stock

Turn authorized repair items into demand, then assess on-hand, reserved, in-transit, substitute and supplier lead time.

01

Evidence-based fitment

Link original number, substitutes, vehicle use and supplier data.

02

Order-level reservation

Record reservation, release, issue, return and store transfer.

03

Shared cost and margin

Feed purchase, batch, selling price and discount to order margin.

MULTI-STORE CONSOLE

RESPONSIBILITY BOUNDARY

Keep professional judgment accountable

Stores, vehicles, repair orders, amounts, customers and metrics shown here are fictional demonstration data and do not represent any real person or business.

  • Diagnosis, repair planning, work, road tests and quality release remain the responsibility of qualified and authorized personnel following regulation, OEM information and shop procedures.
  • The platform does not replace customer authorization or silently turn inspection findings into repair work; additions, substitutes, price and promise changes require clear customer consent.
  • Inventory, cost, margin and performance analytics support management; final settlement, accounting, warranty decisions and dispute handling remain subject to accountable review.
Does the system add repair work automatically from inspection findings?

No. An advisor must review findings with the customer, and only explicitly authorized items can enter the repair order. Changes, refusals and withdrawals remain recorded.

Can it integrate with existing parts, finance or membership systems?

Integration is possible when APIs, master data, permissions and security allow it. Scope, definitions, synchronization and exception ownership must be agreed before implementation.

Can stores share customer history and inventory?

Authorized stores can share service history, catalog and available stock by brand, region and organization. Transfers, pricing, discounts and privacy access remain controlled.

Does the platform replace technician diagnosis or quality responsibility?

No. It supports records, coordination and traceability. Qualified and authorized personnel remain responsible for diagnosis, repair, road tests and release.
